1. Introduction
Welcome to Joiin Ltd (“Joiin,” “we,” “us,” or “our”). By accessing or using our financial consolidation and reporting software at app.joiin.co (the “Software”) and visiting our website at www.joiin.co (the “Website”), you agree to comply with these Terms and Conditions (“Terms”). If you do not agree with these Terms, please refrain from using the Software and Website.
2. Data Protection and Privacy
2.1 Joiin is committed to protecting your privacy and complies with applicable data protection laws, including:
- The UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
- The European Union General Data Protection Regulation (GDPR).
- The California Consumer Privacy Act (CCPA), where applicable.

3. Registration and Account Security
3.1 To use the Software, you must create an account with accurate and truthful information. You must not impersonate others, use offensive usernames, or violate intellectual property rights when creating your account.
3.2 Accounts and user licences provided to organisations are non-transferable and must only be used by the assigned individual. Sharing user credentials or breaching licence terms may result in account suspension or termination.
3.3 You are responsible for maintaining the confidentiality of your account credentials. Notify us immediately if you suspect unauthorised access. We are not liable for any loss or damage arising from your failure to secure your account.
4. Plans, Pricing, and Payments
4.1 Current pricing, plans, and features are available on our website at www.joiin.co.
4.2 Prices and features may change. We will provide advance notice of pricing changes in your next billing cycle, whether monthly or annual.
4.3 Payments for the Software are billed in advance based on your selected monthly or annual plan. We accept valid credit or debit cards as payment methods.
4.4 If your payment method fails, your access may be suspended until valid payment is processed.
5. Trial and Offer Periods
5.1 Joiin may offer trial or promotional periods at its sole discretion. Terms of such offers will be communicated separately.
5.2 Trial or promotional accounts are intended for single-user access and cannot be shared among multiple individuals.
5.3 Trial and promotional periods are governed by these Terms and may be modified or withdrawn without prior notice.
6. Cancellation and Termination
6.1 You may cancel your account at any time through the settings provided in the Software.
6.2 Upon cancellation:
- Trial Accounts: Data is retained for up to 12 months after inactivity.
- Paid Accounts: Data is retained for up to 12 months after cancellation.
6.3 After the 12-month retention period, all data associated with your account will be permanently deleted and cannot be recovered.
6.4 You may request early deletion of their data by contacting support@joiin.co. Joiin will process such requests in accordance with applicable laws and regulations.
6.5 You are responsible for exporting any required data during the 12-month retention period. The Software enables you to export data to Excel and PDF.
6.6 Joiin consolidates data provided by the customer through third-party platforms (e.g., Xero, Sage, QuickBooks) or spreadsheets for reporting purposes. You remain responsible for retaining financial records in accordance with your own legal and regulatory obligations.
6.7 Joiin may retain minimal payment records (e.g. subscription amounts and receipts) for up to 7 years to comply with legal and tax obligations.
6.8 Joiin reserves the right to suspend or terminate your account for breach of these Terms.
7. Data Retention and Deletion
7.1 Joiin’s data retention policy aligns with applicable data protection laws.
7.2 We retain personal data only for as long as necessary to provide services or comply with legal obligations. After the specified retention period, data is permanently deleted or anonymised.

8. Unlimited Plan: Fair Usage Policy
8.1 Our unlimited plan allows you to add entities to your account without individual licensing fees, up to a reasonable usage limit consistent with normal business operations.
8.2 Fair Usage Threshold
• Standard Usage Limit: Our unlimited plan is designed to support up to 100 active entities per customer account.
• Active Entity Definition: An active entity is defined as a unique entity who accesses or utilises the services within a given billing cycle.
8.3 Exceeding the Fair Usage Threshold
• Monitoring: We reserve the right to monitor entity counts to ensure compliance with our Fair Usage Policy.
• Notification: If you exceed the 100-entity threshold, we will notify you in writing.
• Additional Charges: Users exceeding the 100-entity limit will be subject to additional fees on a per-entity basis as follows:
GBP – £1.50
USD – $1.90
EUR – €1.80
AUD – A$ 2.90
NZD – NZ$ 3.20
• Adjustments: We may propose moving you to a different pricing plan or custom agreement better suited to usage levels. For any queries or further clarification, please contact our support team.
9. Intellectual Property
9.1 Ownership:
All intellectual property rights, including but not limited to copyrights, trademarks, trade secrets, patents, and any other proprietary rights, in and to the Software, Website, and related materials, are and shall remain the exclusive property of Joiin and/or its licensors.
9.2 License to Use:
Subject to your compliance with these Terms, Joiin grants you a limited, non-exclusive, non-transferable, revocable license to access and use the Software for your internal business purposes. This license does not convey any rights of ownership in the Software or related intellectual property.
9.3 Restrictions:
You agree not to:
- Copy, reproduce, modify, adapt, or create derivative works based on the Software or any part thereof.
- Reverse-engineer, decompile, or disassemble the Software, except as permitted by applicable law.
- Remove, alter, or obscure any copyright, trademark, or other proprietary notices contained in or on the Software or Website.
- Use the Software for any unauthorised or illegal purposes, including activities that infringe on the intellectual property rights of Joiin or third parties.
9.4 Feedback and Suggestions:
If you provide feedback, suggestions, or other input related to the Software or its functionality, you grant Joiin a worldwide, perpetual, irrevocable, royalty-free license to use, reproduce, modify, and incorporate your feedback into the Software or related products without further obligation to you.
9.5 Third-Party Components:
The Software may include third-party software or open-source components. Use of these components may be subject to additional terms and conditions, which Joiin will provide upon request or make available within the Software.
9.6 Protection and Enforcement:
Joiin reserves the right to take legal action to protect its intellectual property rights and prevent unauthorised use of the Software or Website.
10. Email Communications
10.1 By signing up for a Joiin subscription or trial, you agree to receive email communications from us. These include service-related updates, marketing communications relevant to your business, and (if opted in) product notifications via Beamer. You may opt out of marketing communications at any time by following the unsubscribe link in any marketing email or by contacting us at support@joiin.co. In app (Beamer) email notifications are optional and can be managed as described in our Privacy policy.
11. Service Availability and Support
11.1 We aim to provide continuous access to the Software but do not guarantee uninterrupted availability.
11.2 Technical support is available via in-app chat, email, or helpdesk portal. Support availability may vary based on your subscription plan.
12. Access and Backups
12.1 Service Availability
We take reasonable steps to ensure the Software and Website are available and functioning as expected. If the service becomes unavailable or malfunctions, we will work to resolve the issue and, where possible, provide repeat performance of the affected service.
12.2 Third-Party Responsibility
We are not responsible for issues caused by third-party providers or systems beyond our control, and refunds will not be provided in such cases.
12.3 Customer Backup Responsibility
You are responsible for regularly backing up any data you upload to the Software. While we follow industry best practices to reduce the risk of data loss, we cannot guarantee against all potential data loss. Joiin is not liable for any loss of data, regardless of the cause.
13. Limitation of Liability
13.1 To the extent permitted by law, Joiin is not liable for indirect, incidental, or consequential damages, including loss of profits, data, or business opportunities, arising from your use of the Software.
13.2 Our total liability for any claim related to the Software will not exceed the amount you paid in the preceding 12 months.
14. Indemnification
14.1 You agree to indemnify and hold Joiin, its affiliates, employees, and partners harmless from any claims, liabilities, or damages arising from your breach of these Terms or misuse of the Software.
15. Updates to the Terms
15.1 We may update these Terms from time to time. Significant changes will be communicated to you. Continued use of the Software after changes are made constitutes your acceptance of the updated Terms.
16. Jurisdiction and Governing Law
16.1 These Terms are governed by and construed in accordance with English law. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
17. Data Processing Agreement
17.1 Joiin operates as a data processor, not a data controller, for customer data. All data processing activities are governed by our Data Processing Agreement (DPA), which outlines our responsibilities and compliance with applicable data protection laws. The DPA applies to all Joiin customers and is available here.
